Local Lodging Services: 1. Quality/Rate: Shall provide quality guest rooms at the most favorable/competitive rates with no prepayments or deposits. Contract rates per room night shall be a percent discount off the Best Available Rate (BAR) at reservation time. 2. Cancellations: Should accept cancellations for reservations under 10 rooms until 4 pm on arrival day at no charge. A "no show" charge for the first night's room and tax may apply if not canceled by 4 pm. 3. Sustainability: Should hold a Virginia Green Commitment designation to align with the University’s sustainability goals. 4. Location: Preferred within 10 miles of VCU’s Richmond, Virginia campus. 5. Quality Rating: Must meet American Hotel and Lodging Association Stay Safe Standards, and have amenities like dining service, gym, or pool. University may use hotel rating systems like AAA Diamond, Forbes Travel Guide, Tablet Hotels, and/or Smith Travel Research (STR). Preferred ratings: AAA three Diamond, STR Upper Midscale, or comparable. Must comply with Federal Emergency Management Agency (FEMA) and Americans with Disabilities Act (ADA) requirements. 6. Internet: Selected Firm should offer complimentary WiFi. 7. Breakfast: University prefers a complimentary breakfast to be offered to guests. 8. Laundry: Selected Firm should offer laundry services at guests’ expense. 9. Transportation: Selected Firm should provide roundtrip transportation to/from the University if over one mile away. 10.
