The number of rooms needed each night will vary slightly. 2027: 42 hotel rooms October 3-7, 2027, at or below state per diem rate. The number of rooms needed each night will vary slightly. Designated Conference Registration Site Designated conference registration site, to be supplied with 12 ft. registration table, 4 chairs, telephone, 2 display easels, waste basket, ice water, and drinking glasses. Conference room Conference room for 12 people on Sunday from 2:00 PM– 4:00 PM on the following dates: October 4, 2026 October 3, 2027 Meeting Room (each day) Meeting room each day with tables arranged in a classroom style with individual tables that accommodates 35 people and two large round tables in the back of the room for 10 additional faculty. Additional room requirements: head table, 6 chairs, microphones (reaching 12 feet), a podium and PowerPoint/video viewing capabilities. Dates room needed: October 4-9, 2026 October 3-8, 2027 Reception Space or Hospitality Suite A room suitable for after-hours hospitality suite accommodating up to 42 attendees each night. Space must permit guests to provide their own food and beverages. Refreshments Ice water and drinking cups in the conference room for all attendees. Coffee/tea and refreshment breaks throughout program, to be billed on a consumption basis. Breakfast Breakfast each day for 42 people at or below state per diem rate on the following dates: October 5-9, 2026 October 4-8, 2027 Lunch Box lunch each day for 42 people at or below state per diem rate on the following dates: October 5-8, 2026 October 4-7, 2027 Audiovisual Equipment Access Access to audiovisual equipment if an instructor is unable to provide their own, including digital projector, audio interface for computer audio, speakers, and microphones. Wi-Fi Complimentary Wi-Fi in conference room and meeting spaces Parking Parking sufficient to accommodate up to 50 attendees, staff, and faculty Location convenient to restaurants, shops, etc. Staunton location within walking distance of restaurants, shops, and services Storage for delivered boxes prior to event Accept delivery of training binders on the Friday before the conference begins and store the delivery until Sunday.
