SPECIFICATIONS (Match or Comparable)
The City of Edgewater is requesting bids for the order of Hand Held Meter Reading Equipment:
Intent of Specifications: This specification covers commercially produced Hand Held Meter Reading Equipment and its associated hardware, software and accessories. The system delivered to these specifications shall be a standard commercial product that meets or exceeds the requirements of these specifications. Materials used in construction of the Hand Held Meter Reading Equipment shall be new, unused, and not less than the quality conforming to modern engineering and manufacturing practices. Materials shall be free of defects and suitable for municipal service.
Compliance Guarantee: Vendors answering this bid must guarantee that equipment tendered meets or exceeds all parts of this specification. The City of Edgewater reserves the right to require the bidder to submit a sample of the equipment being tendered to the City of Edgewater for validation and verification that all items claimed to be in compliance are in fact true and correct. If a bidder is requested to supply a sample of the equipment being tendered for testing, the equipment shall be supplied to, and received by, the City of Edgewater within one week of notice. Inability to meet the timeline provided herein shall disqualify the bidder.
Warranty Specifications: 1. The Hand Held Meter Reading Equipment shall be warranted by the manufacturer to be free of defects for a minimum of one year from the date of delivery. 2. The manufacturer shall provide 48-hour turn-around time on warranty service work to the equipment in such a manner to return the Equipment to the City of Edgewater, in normal usable condition, within 72 hours, or to provide for the use of comparable equipment on loan until such time that the Camera is returned to the City of Edgewater. 3. The Equipment shall be eligible for extended warranties, up to three years of coverage in total. Extended warranty contracts for the Equipment shall be provided by the manufacturer. The warranty contract shall be eligible for purchase either at the time of original purchase, or in one-year intervals after the initial purchase of the Equipment.
Minimum Bid Inclusions: 1. Two (2) Hand Held Meter Reading Units (Units)- • Units to be compatible with Sensus Water Meters and able to upload to Caselle financial software. • Units to be portable, made of suitable material to be outside in a rugged environment for long periods of time and include holster and weather/ water proof protective casings for staff to carry units while walking meter reading routes. • Hand Held Units to accept both manually entered meter readings and auto reading through auto gun attachments. • Units able to hold minimum of 1,500 meter readings for twelve hours. • Units have LCD screen for viewing of meter readings. 2. One (1) Hand Held Computer Module • Include all computer software and equipment to upload information from hand held meter reading unit to personal computer (PC). • Software to be compatible with Caselle financial software and current operating system of the City of Edgewater (Windows).
• Include installation and training fees to install and train staff on computer module. Please indicate training hours included on bid form. 3. Two (2) Hand Held Charging Stands • Includes cords and stand to recharge hand held units.
• Includes connection to personal computer (PC) for downloading meter readings. 4. Two (2) Auto Gun attachments • Compatible with hand held reading units and Sensus Water Meters. • Must be compatible with extension probe add on for future up grade. • Must include all cords or wireless connections with hand held Units.
