RFB 24-12-SP - Food Service Walk-In Freezer/Cooler Maintenance

The Santa Rosa County School Board is searching for a maintenance company for walk-in freezer/cooler that are aging and in need of repair.  The Santa Rosa County School District is home to 36 schools and growing.  Contract will be for all current sites and any future sites for the duration of this contract.  

SCOPE OF WORK

The Contractor shall furnish all transportation, labor, equipment, tools, parts, and materials necessary to provide repairs for Food Service Walk-In Freezer/Cooler equipment currently owned and any acquired during the duration of this contract. 
 

1. Contractor Responsibilities
   1. The contractor shall be responsible for providing the appropriate types and skill levels of personnel required to accomplish the work and for adequately supervising them at the work site.  Contractor shall assure that the work is accomplished in compliance with all applicable Federal, State and local laws, ordinances, rules, regulations and codes and are compatible with existing materials and equipment of each piece of equipment involved.  Contractor shall be similarly responsible for all damages to persons or property that occur as a result of his/her fault or negligence. 
   2. The contractor will cover all transportation, parts, and labor on all food service equipment under this contract.
   3. All freight will be F.O.B.- destination.
   4. All work shall be coordinated with the Food Service Coordinator, or designee; who shall be named at the beginning of the contract.
   5. Normal working hours for the School Board Cafeterias are from 7:00 AM CT to 3:00 PM CT, Monday through Friday, except holidays.  All regular repair service shall be performed during normal working hours.
   6. If Contractor wishes to continue to work beyond the Board’s Cafeteria normal hours of operation, authorization must be obtained before proceeding from Food Service Coordinator, or designee.
   7. Contractor employees shall provide a clear and legible copy of the Contractor’s work order showing all work performed.  Signature of Cafeteria Manager or other Food Service official shall be required.
   8. Contractor shall furnish all replacement parts and all consumables that pertain to each service. 
   9. All parts furnished under this contract shall be manufacturer’s recommended or authorized replacement parts.  If parts are discontinued, Contractor will provide comparable replacement part.
   10. All service provided under this contract shall be performed by competent mechanics and be performed in a manner in accordance with the manufacturer’s recommended procedures.  Technicians trained in safety lock out tag out procedure.
   11. The Food Service Coordinator or designee shall work with the Contractor in scheduling and coordinating services, providing access to site and answering questions in connection with the work.  However, no modifications or changes to the scope of this contract shall be made without prior written approval of the Purchasing Department. 
   12. The contractor shall retain all records and documentation related to this contract and shall become the property of the Santa Rosa County District Schools.  Contractor must be able to provide service history by equipment.
   13. WORK SITE DAMAGES: Any damage, including damage to finished surfaces, resulting from the performance of this contract shall be repaired to the District’s satisfaction at the Contractor’s expense.
   14. Before work can begin, a Purchase Order must be issued first.  Payment terms should be Net-45 from receipt of correct invoice following the completion of services.
