INSTRUCTION TO BIDDERS
A. All proposals shall be submitted on company letterhead in an itemized format for material and services. The bid shall remain firm for a period of ninety (90) days, following the official bid opening.
B. The Township reserves the right to reject any or all bids in whole or in part and to waive any information therein. The Township reserves the right to award the bid to the best-qualified bidder regardless of price.
C. Pricing and notations must be typed or printed in ink. No erasures are permitted. Mistakes may be crossed out with corrections entered and initialed in ink by the person signing the document.
D. Should a bidder find any discrepancies in the specifications or be in doubt as to their meaning, the bidder shall notify the IT Department via Phone (810) 424-2638, and a written Addendum will be issued if
necessary to all bidders concerned. Oral instructions or deletions, unless confirmed by Addenda, will not be considered valid, legal or binding.
E. Vendor default is defined as a failure of a vendor to fulfill the obligation of their bid, including, but not limited to, failure to deliver services on time. In cases of default by the Contractor, the Township reserves the right to cancel the contract.
G. Before signing a contract with the chosen vendor, the Township requires satisfactory proof that the vendor has adequate insurance coverage for the work to be performed under the contract. (See Insurance_Standards.pdf)
H. The Township reserves the right to conduct background checks on all persons involved in this project.
I. The Township has the right to reject any portion or this entire bid. The Township reserves the right to add or delete portions of this bid (properties). The Township reserves the right to request additional services.
J. Bids shall be evaluated in part on: pricing provided by the contractor and references.
K. It is the intent of the Township that after the successful vendor has been selected, the Township and the selected vendor will enter into contract negotiations containing all terms and conditions of the proposed service. Any acceptance of a proposal is contingent upon the execution of a written contract and the Township shall not be contractually bound to any bidder prior to the execution of such written contractual agreement.
