The Orange County Department of Parks, Recreation & Conservation is seeking quotations from qualified Outdoor Movie contractor or contracting firms to provide a summer outdoor movie series at the following county site on the following dates & times:

For the purposes of soliciting quotations for this work, the County of Orange will accept quotations and statements of qualifications from those firms that possess the ability to successfully perform the services described in the SUMMER OUTDOOR MOVIE SERIES quotation package. All qualified firms interested should submit their quotations including completed statement of qualifications and experience to the Orange County Division of Purchasing, P.O. Box 218, 255 Main Street, Goshen, New York 10924, on or before Friday, May 21, 2010 at 3:00 P.M. The County reserves the right to reject any and all bids, if deemed to be in the best interest of the County. The prices shall be exclusive of all Federal and State taxes. INSTRUCTIONS FOR SUBMISSION OF QUOTATIONS: 1. Read all information carefully. Contract terms and conditions for the selected vendor shall be as in the County's standard Agreement for Vendor Services; attached for your reference. 2. Submit to the Orange County Division of Purchasing, P.O. Box 218, 255 Main Street, Goshen, New York 10924 by Friday, May 21, 2010 at 3:00 p.m.: a) The Quotation Sheet (pages 3 of this RFQ) with all blanks completed. b) A statement of qualifications and experience. c) Proof of insurance policies and limits [Note: certificates of insurance in types and amounts specified on page 4 of this Request for Quotation, with the County named as additional insured shall be required prior to the each event.

-QUOTATION SHEET- The Department of Parks, Recreation & Conservation will obtain the feature films and licensing therefore at its own expense, selected Vendor shall be expected to consult and assist as necessary with the licensing process. Vendor will be expected to provide an appropriately licensed pre-show cartoon, video or film short as approved by Parks Department. The Department shall also be responsible for any advertising of events.
The undersigned, being familiar with this Request for Quotation and all referenced attachments; hereby agrees to furnish the following services: Provide the following equipment and items of equal or better quality:
A. 18 by 24 movie screen (inflatable or other) with safety cables to secure. B. Concert type sound system. C. 4700 lumen video projector. D. Generator for power. E. Back-up all above equipment in the event of failure. F. Appropriately licensed pre-show cartoon, video or film short as approved by Parks Department.
Provide the following services:
A. Pre-show consultation visit (by June 25, 2010); including any consultation for licensing. B. Set-up of entire system (at least) ½ hour before scheduled showtime. C. Take down and complete removal of equipment immediately upon conclusion of each show. D. Rain date (for each separate location and date) at no extra charge.
