NOTICE TO BIDDERS
NOTICE IS HEREBY GIVEN, that the County of Ontario (the “County”), will receive sealed bids for County Print Functions (B22035). Such sealed bids must be filed with the Ontario County Purchasing Director, 20 Ontario Street, Canandaigua, New York 14424, PRIOR TO 3:00 PM prevailing time, April 6, 2022 at which time said bids will be opened and read via Webex Meeting.

Bid forms and specifications may be obtained at the office of the County Purchasing Director at the above mentioned address, the Ontario County Website ( www.ontariocountyny.gov/purchasing ), or the Empire State Purchasing Group (https://www.bidnetdirect.com/new-york ) (Telephone: 585-396-4442). Vendors requesting arrangements other than U.S. Mail shall be responsible for making such arrangements and all associated costs.
The County reserves the right to renew any contract(s) awarded as a result of this bid for up to two additional, (12) twelve-month periods by annual resolution by the County Board of Supervisors and in accordance with the Bid Specifications and New York State General Municipal Law (“GML”) Sections 103 and 104-b.
NOTE: The County shall not be held responsible for the completeness or accuracy of any bid documents received by a vendor that were not directly issued to that vendor by the County Purchasing Department.
Any vendor submitting a bid based on incomplete or inaccurate information resulting from documentation received from any third party, shall not have cause for relief from award or completion of an award in accordance with the official documents on file with the County Purchasing Department.
It is HIGHLY suggested that all vendors interested in participating in this bid, contact the County Purchasing Department directly at the above address or telephone number to assure they have received the most accurate and up to date material concerning this contract.
The County does not offer or supply anyone the list of people that have obtained a copy of these bid specifications or cost estimates for the project prior to the opening of the bid. NO EXCEPTIONS ARE MADE TO THIS POLICY.

1. SCOPE
1.1 The County of Ontario requests bids to establish an award for photocopying and offset printing services for various County departments.
1.2 The intent is to obtain the services of a full service quick-print company to cover a myriad of printing, photocopying, and other tasks associated with these jobs These jobs will often require a fast turn-around time.
1.3 The Contractor shall submit a bid to cover the method, terms and conditions set forth herein. Each bid shall include a timeline overview of the process for onboarding County printing services.
2. BACKGROUND
2.1 The County of Ontario, New York, has a current award with a Vendor that services over 40 County departments and a number of local municipalities (towns, villages, cities). The County contract offers a variety of services including large but not limited to, volume print jobs, business cards, booklets, forms, lamination, posters, letterhead, note pads, and reports.
2.2 For reference, in 2020 the County spent approximately $85,000 with our current contract, in 2021 the amount was about $65,000. It is expected our volume will stay in that range. This information is given for reference only, as there is no guarantee on the number of print jobs sent to the Contractor. Depending on requirements, the quantity of print jobs throughout the year could fluctuate. Please note: the County currently holds several awards for printing specific projects. At this point it is anticipated that the County will continue to use said awards for those needs. These, in no way, give any Respondents an advantage or disadvantage
